Introduction

Email mailing lists allow you to send messages to a group of subscribers from a single email address. cPanel includes Mailman, a mailing list manager that lets you create and manage discussion lists and announcement lists for your domain.

Creating a Mailing List

  1. Log into cPanel
  2. Go to Email > Mailing Lists
  3. Enter a List Name (e.g., "newsletter" will create newsletter@yourdomain.com)
  4. Set a Password for the list administrator
  5. Select your Domain from the dropdown
  6. Click Add Mailing List

Managing Your Mailing List

Once created, you can manage your list through the Mailman admin interface:

  1. In cPanel, go to Email > Mailing Lists
  2. Click Manage next to your list
  3. This opens the Mailman administration page where you can configure all settings

  1. In the Mailman admin interface, go to Membership Management > Mass Subscription
  2. Enter email addresses (one per line)

Sending Messages to the List

To send a message to all subscribers, simply send an email to the list address (e.g., newsletter@yourdomain.com). Depending on your settings, the message may be held for moderation before being distributed.

Common List Settings

Moderation

You can configure whether messages need to be approved before being sent to the list:

  • Moderated list — all messages are held for admin approval before distribution (good for announcements)
  • Unmoderated list — messages from subscribers are delivered immediately (good for discussion groups)

Who Can Post

  • Members only — only subscribed members can send messages to the list
  • Anyone — any email address can post (not recommended due to spam risk)
  • Admin only — only list administrators can post (ideal for one-way newsletters)

Subscription Policy

  • Open — anyone can subscribe without approval
  • Confirm — subscribers must confirm via email (recommended)
  • Require approval — admin must approve each subscription request

Mailing Lists vs. Email Marketing Services

cPanel mailing lists are suitable for small-scale internal communications and discussion groups. For larger email marketing campaigns (newsletters to hundreds or thousands of subscribers), we recommend using a dedicated email marketing service such as Mailchimp, Sendinblue, or similar platforms, as they offer better deliverability, analytics, and compliance with anti-spam regulations.

Troubleshooting

  • Messages not being delivered: Check the list's moderation queue — messages may be held for approval
  • Subscribers not receiving emails: Ensure the subscriber's email address is correct and that messages aren't going to their spam folder
  • Cannot access admin panel: Reset the list password in cPanel under Mailing Lists
