How to Troubleshoot Email Delivery Issues Print

  • 0

If your emails aren't being delivered or keep ending up in spam folders, work through the checklist below.

1. Check Email Authentication

Missing authentication records are the most common cause of delivery issues.

  • SPF — verify your domain has a valid SPF record that includes our mail servers.
  • DKIM — enable DKIM for your domain. See How to Enable DKIM Email Authentication.
  • DMARC — optional but recommended once SPF and DKIM are in place.

2. Check Your DNS

Make sure your domain's MX records point to our mail server and your nameservers are correct. If you manage DNS externally, verify these records match what the Webfort control panel expects.

3. Review Message Content

Even correctly configured mail can be marked as spam. To reduce the chance:

  • Avoid excessive capitalisation or punctuation in subjects.
  • Include a plain-text version alongside HTML.
  • Add an unsubscribe link to any bulk or marketing emails.
  • Use a dedicated bulk email service (Mailchimp, Brevo, etc.) for newsletters rather than your hosting mailbox.

4. Test Across Providers

Send test messages to addresses at Gmail, Outlook, and Yahoo to see whether the problem is provider-specific.

5. Check IP Reputation

If your messages consistently fail delivery to multiple providers, our mail server's IP may have been flagged. Open a support ticket and we'll investigate.
